Privacy Notice — ANT Solutions

Effective 22 October 2026. This notice applies to the collection and processing of personal data from that date onwards.

1. Who we are. ANT SOLUTIONS COMPANY LIMITED, tax code 0317839813, Floor 14, HM Town Building, 412 Nguyen Thi Minh Khai, Ban Co Ward, Ho Chi Minh City, Vietnam. Please send personal-data requests in writing to info@ — so that we can record them and run the response deadlines in section 8 (Your rights) correctly; if you call, we will tell you how to send one.

2. Who this notice is for.

  • (a) people who contact us, by phone, email, a form on our website or an introduction;
  • (b) the legal representatives and contact people of our customers — their name and title in our customer records;
  • (c) users of the ANT ERP system — our own staff, and our customers' staff where we operate the system for them;
  • (d) visitors to our websites.

3. What we collect. Contact details (name, title, email, phone, company); our customers' representatives and contacts — usually name and title only, mostly taken from the public company register or given to us by the customer; ANT ERP user records (name, email, phone, job title, unit, start date), and, where a customer uses the HR module, the staff data that customer enters; names and titles on contracts and invoices; and minimal technical data needed for our websites to work.

We do not collect sensitive personal data (health, biometrics, religion, political opinion, location) for our own purposes, and we do not collect children's data.

4. What we use it for, and on what basis. To contact you back at your own request (you contacted us); to perform our contracts — quoting, contracting, implementation, support, warranty (performance of a contract); invoicing, accounting and tax (legal obligation); operating and securing our systems (our legitimate interest); handling disputes and complaints (legitimate interest and legal obligation).

We do not sell personal data and do not use it for advertising beyond the above.

5. Where it is kept — and it leaves Vietnam. Our ANT ERP system runs on a server rented in Singapore. The info@ant-solutions.io mailbox is provided by Namecheap Private Email (United States), and system email is sent through Resend (United States). So the personal data we process is stored outside Vietnam. We maintain the cross-border personal-data transfer impact assessment required by Personal Data Protection Law 91/2025/QH15 and Decree 356/2025/ND-CP.

Those who process data for us: DigitalOcean (servers, Singapore), Cloudflare (network, global), Resend (email, US), Namecheap Private Email (mailbox, US). Beyond these we transfer personal data to no one, unless the law requires it or you agree.

6. How long we keep it. Contacts who do not become customers: until we no longer need them to contact you, and deleted at once if you ask. Customer records and contracts: for the relationship and 5 years afterwards. Invoices and accounting records: 10 years, as accounting and tax law require. ANT ERP user data: while the account is active; staff data a customer enters follows that customer's own retention decision, because the customer is the controller of it. Records of a personal-data incident: 5 years after remediation, per Decree 356/2025/ND-CP.

About backups, so that "deleted" is not misleading: we back our databases up regularly and keep backups for a short period. When we delete your data it is gone from the running system immediately, and gone from backups as those expire.

7. When we are not the controller. For systems we operate for a customer (for example a company's own ANT ERP), that customer is the controller of its staff's and its customers' data and we are a processor, acting on its instructions. If your data is in such a system we forward your request to that company and act on its instruction, and we do not use that data for our own purposes.

8. Your rights. You may: know what data about you is being processed; receive a copy; correct inaccurate data; ask for deletion; ask us to restrict processing; object to processing; withdraw consent; complain to the competent authority; and claim compensation for damage.

Write to info@ant-solutions.io. We acknowledge within 2 working days and act within 20 days (30 if we must coordinate with a processor or third party), with one extension of up to 20 days if needed, stating why. Some data we must keep even if you ask us to delete it — invoices and accounting records are the example — and we will say what we kept and why.

9. Security. HTTPS throughout. Passwords stored hashed. Role-based access kept to the minimum needed. If a personal-data breach occurs we notify you and the competent authority within the periods the law requires.

10. Changes. We publish any new version on this page with its effective date. If a change widens the purposes of processing, we ask for your consent again.
